Oknola

Early access · macOS and Android first

The company brain for one-person businesses

Stop re-explaining your business to every AI. Oknola keeps your clients, money, plans, and the life around them, in one folder of plain files that it organizes for you. Any AI agent can work on it, and it only sees what you allow.

The real app, running on sample data: a real folder's structure, with placeholder names. Click through it in the demo →

Operating maps

Your live workflows, at a glance

Your whole operation, drawn as one live diagram.

Oknola draws your business straight from your files. Every solid shape is a note you can open, and the small tiles are the tools the work passes through. Change a file and the map follows.

  • See what is stuck. Anything waiting on someone else is flagged with its age. Here, a pilot invite has had no reply for 19 days.
  • Click, don’t search. Every shape opens the file behind it.
  • One map per path. Your sales funnel, your content system, a launch plan.
The Overview map in the Oknola app: the company in the middle, linked to its website, launch plan and accelerator applications, a design partner, the accelerator and the Stripe Atlas fee. The design partner Acme Corp is flagged as an open loop for 19 days, and a Needs you first list on the right puts it at the top.
Drawn from the files. Five maps in the demo, every shape a real note. Open the maps in the demo →

Apps

A new area, with its own files.

Apps sit on top of the same files: each one adds its own screen over your same folder. Add one when you need it. Remove it whenever, and everything it wrote is still there in plain Markdown.

The first app

Finance

You carry the total in your head.
The total in your head is wrong.

Business and personal money, separated by design, in USD and any other currency you use. Every account, subscription, debt and transaction is a file, and these screens are read from them.

See Finance
The Finance app in the demo: net worth, business cash, personal cash and no open invoices, then September split into its business half and its personal half, each against its own budget.

Next on the shelf

One at a time. Each one shipped and running before the next starts.

Superpowers

One job in. One result out.

One-job automations that come back done.

A superpower takes one job off your plate and files the result in your folder, where everything else can use it. Run it with one click in the app, or message your agent from your phone. Nothing is sent without your yes.

Invoice chase in the demo. On WhatsApp you ask who owes you. The agent reads Finance and the client file, drafts a follow-up for Lone Sock Supply Co.'s invoice MD-118, $3,500 and 27 days old, files it in Actions and asks before sending it. The same run shows in the app's log: done, filed in your folder, nothing sent.
One run, from WhatsApp and from the app. The draft waits for your yes. Run it in the demo →

Invoice chase

Money in, chased.

Every invoice past its terms becomes a follow-up in your voice, filed against the client, ready to send.

Receipt to ledger

Photo in, line filed.

Photograph a receipt and it lands in Finance as a transaction, with the category, the account and, when it is not in USD, the exchange rate.

Week of posts

One note, five drafts.

One note becomes the week’s posts in your voice, with the banners, filed as a project and waiting for your approval.

On request, or every Sunday 18:00

Morning brief

Your day, at 07:30.

Your agent messages you the day: meetings, what is due, anything waiting on someone else for too long, money in and out. Filed as today’s journal page.

LifeOS+BusinessOS

One structure.

Separate by design. Together when it counts.

The scope switches for the Business agent in the demo: Agent on, Business on, Shared on, Life off. Each switch is a set of tags.

Both sides of it.

Business and life share the same folders. A folder is where a note lives; its tag decides who can see it, you or an agent. BusinessOS marks the work side, LifeOS the personal side, FinanceOS the money records. Give an agent the business tags and it reads every client file, and never your journal.

The Business agent's scope in the demo: business and shared tags such as BusinessOS, FinanceOS, Project, Note and Meeting are allowed, and life tags such as LifeOS, Daily_Log and Recipe are not. Permission is by tag, not by folder.

Credibility

Built on a real business, not a pitch deck.

Oknola is built by Ricardo Cardona, a solo operator who runs his whole business this way: one structured folder, with AI as the team. Ten years and 100+ business systems delivered for real companies came first; Oknola is that experience, made for a business of one. macOS and Android first, iOS later. We’d rather say so than promise it.

The actual problem

Every app you’ve tried was built for someone else.

They are built for a company’s employees, not for the person running the company. Companies wall work off from life for good reason; solo, one brain needs one place for the business and the life around it. So you stack apps, and tending the stack becomes the job.

  1. Starting out

“Just keep it in a folder.”

  2. The stack years

“You need a real system: linked databases, a template for every note, a stack of plugins, and an automation to keep it all in sync.”

    NotionClickUpObsidianpluginsa CRMspreadsheetsinvoicingan ERP

  3. Years in

“Just keep it in a folder.”

    Oknola starts you here

Height is how much setup you tend. Left to right, the years you run solo.

Beginners and experts land in the same place: a folder of plain files. What broke was never the files. It was the tending.

Oknola starts you where the experts end up: one folder of plain files, readable by any AI, with the tending done for you, not by you.

One folder, understood by you and any AI.

1

Step 1

The files are yours, not the app’s.

One folder of plain .md text files on your own devices. That folder is the source of truth: Oknola reads it and keeps it in order.

The folder tree in the demo: Inbox 4, Home 23, Projects 80, Entities 47, Actions 7, Finance 118, Learning Hub 8, People - Source 48, Resources 112, Notes 32, Ideas 32, Recipes 32, Meetings 3, Readwise 16, Processed 20, Unprocessed 3, Journals 73, Other 101.
The real folder: 18 folders, 759 notes.
2

Step 2

The format is Open Knowledge.

A public format, not ours: Google Cloud’s open spec for AI agents. Every file carries typed fields any AI can read, so switching assistants costs you nothing.

Learn more about OKF
A proposal in the demo shown as its raw file: type Project, tags Project and BusinessOS, a one-line description, the client, status sent and dates, then the offer, the price and the status in plain markdown.
A proposal in Source view: the raw file any AI reads, no setup.

Readable by

Claude Codex Gemini Cursor OpenClaw Hermes OpenCode
Or any agent you choose.
3

Step 3

The structure is enforced, not suggested.

Every file is checked against its folder’s allowed types and a closed set of tags that only you can add to. A wrong file is refused or fixed, and you can watch it happen.

Learn more about Indexed Brain
The demo refusing a file: the type Todo is not allowed in Ideas, where only Idea is, and the tag urgent is not in the tag set, where the closest allowed tag is Actions. A Fix it button snaps both to allowed values.
Set a wrong type and an invented tag: the file is refused.
4

Step 4

The tending is no longer your job.

Drop a rough note in the Inbox. The pass, a scheduled AI tidy-up, gives it a type, writes the description, links it to related notes and files it. Your original stays beside it, word for word.

Free: run the pass with your own agent, like Claude Code or Codex. Pro: built in, on a schedule.

The same note before and after the pass in the demo. Before: a rough pricing idea with an empty description, no tags and no links. After: filed in Ideas as an Idea with tags, a description and headings, linked to four notes, with the original kept in Processed.
A rough capture, and the same note after the pass.

The ownership

Negative promise: no cloud storage, no data mining, no tracking.

Your files stay yours.

With the agent off, your files never leave your device. Even we can’t read them.

Disposable by design: delete Oknola tomorrow and your business still opens in any editor. Paid apps keep everything in plain, portable files too. Always.

Own the way you work.

Already in Obsidian? Move in without migrating.

Oknola opens the same folder of plain markdown and takes over what an editor leaves to you: the typing, the tagging and the filing.

The format is open: portable plain text you fully own. The app’s code is ours. Free core, open format, your data is yours.
The Oknola app is free forever: the structure, enforcement, your own agent and bring-your-own sync. Pro, apps and superpowers are paid, each optional.
Then your notes are already plain markdown, so moving in is pointing Oknola at the folder: nothing migrates. From there Oknola does the part an editor leaves to you: typing, tagging and filing every note, and keeping your agent inside the tags you allow. If you’d rather stay in Obsidian, the same structure comes as an Obsidian vault from Indexed Brain, and you can start with its free Core. The tending stays with you.
Through your own Google Drive today: free, your storage, Mac and Android. Native sync comes later, with Pro.
